Terms and conditions for use of the Web site
 

When you do transactions through the Gatineau Hot Air Balloon Festival (the “Festival”, “we”, or “our”) Web site (the “Site”), you agree to comply with the terms and conditions of use and the laws and regulations in effect in Quebec. If you fail to comply, your account will be terminated. The Festival reserves the right to modify the terms and conditions at any time without prior notice.

Our policy on purchases applies to transactions made through the Festival Web site, at the Promenades Gatineau Festival booth and at the points of sale.

Any service of notice, notification or initiation of legal action must take place in the judicial district of Gatineau, province of Quebec.

 

Permitted use of the Web site
 

You are authorized to access the Site and to purchase products only for personal use.
 

Unauthorized use of the Web site
 

Any illegal or unauthorized use of the Site for the purpose of selling products, copying the Site, or involving the use of a robot, a search engine or another automated device may lead to an investigation and, possibly, legal action against you.
 

Disclaimer
 

The Festival does not guarantee that its Site is free of errors, or that it is safe from interruption, cyberattack, service failure or temporary outage coming either from the Site or a third party, nor that it will provide all of the results you hope for through your search or the use of its contents or links. The Site and its contents are provided as is. The Festival is not liable for any type of direct or indirect damage resulting from the use of its Site. The Festival does not guarantee any outcome from the use of its online shopping system.

Currency
 

All prices indicated on the Site are in Canadian dollars.
 

Payment methods
 

The Festival accepts Visa or MasterCard credit or debit (Interac) payments.

Cash will only be accepted at the Festival booth at Promenades Gatineau from April 25 to 28, and from May 30 to June 2.

The Festival is not responsible for payment methods accepted or used at individual participating points of sale.

 

Identification
 

You must fill out all of the fields in the identification form. You must clearly indicate your name as it appears on your credit card.
 

Maximum authorized
 

For each transaction, there is a maximum of:

-10 passports, 10 day passes, 10 front stage passes, 10 VIP stands passes and 10 Amusement rides wristband (2 days and more);

-10 VIP Resto Lounge packages and 5 VIP parking passes;

-one reservation of a spot and additional parking at the Domaine des caravaniers; and

-4 hot air balloon rides.

Please note that these options are only available on the dates specified for the purchases. For those dates, go to “Product-specific terms and conditions” in this document.
 

Order verification and validation
 

Orders will only be processed after addresses and other billing information have been verified. In the event that any information is incorrect, in order to avoid any delays in shipping your items, a client service representative will contact you. If we are unable to reach you after three attempts, we reserve the right to cancel your order.

 

Order confirmation
 

After completing your purchase, you will be able to see your invoice on your screen, and you will receive a copy of it by email. If you do not receive it (on the screen or by email) after having submitted your payment information, if you receive an error message, or if there is a service interruption during the transaction, you must contact client services at 819-243-2330 or 1-800-668-8383 to check whether your order went through. The Festival is not liable if you believe that your order was not processed because you did not receive a

 

Product reproduction or modification
 

It is strictly prohibited to reproduce or modify any of the products sold by the Festival.
 

Policy on credit and debit (Interac) card security
 

When you purchase a product through the Festival’s online shopping system, you authorize the Festival to collect data on your Visa or MasterCard credit or debit (Interac) card. The Site securely transmits the information to Paysafe, which determines the validity of the transaction before accepting or refusing it (insufficient funds, card reported stolen, etc.). Once that step is completed, you will receive an invoice by email, with a transaction number or a transaction refusal, depending on whether the transaction has been approved. That step can happen instantly or may take time, depending on the volume of traffic or the ability of Paysafe to respond. If you do not receive a payment confirmation number or a refusal notice (in the form of an invoice) after submitting your payment information, if you receive an error message or if there is a service interruption during the transaction, it is up to you to contact client services at 819-243-2330 or at 1-800-668-8383 to check whether your order has been processed. The Festival cannot be held liable if you presume that your order has not been processed in the event that you do not receive a confirmation.

 

Policy on delivery and pick-up



1. PASSPORT, DAY PASS, AMUSEMENT RIDES WRISTBAND (2 DAYS AND MORE), FRONT OF STAGE ACCESS, VIP SEATING AND VIP RESTO LOUNGE PACKAGE

Regular mail (in Canada)

If you purchase a passport, day pass, amusement rides wristband (2 days and more), front stage pass, VIP seating or a VIP Resto Lounge package before August 6, 2019, they will be mailed out between August 13 and 20, 2019. The mailing address has to be the same one as for your credit card statement.

International mail (outside Canada)
 

For international destinations with longer delivery times that could prevent your items from being safely delivered on time, we ask that you pick them up at the Festival accreditation station (information coming soon).

Accreditation station
 

You can pick up your items at the accreditation station (information coming soon) if and only if you placed your order online after August 6, 2019. You will have to bring a piece of ID and your invoice (electronic or paper copy) with the bar code. Without those, you will not be able to pick up your items.
 

2. DOMAINE DES CARAVANIERS
 

If you reserved a spot at the Domaine des caravaniers, you will have to show a piece of ID and your invoice (electronic or paper copy) at the Domaine des caravaniers reception booth at 1089 rue Jacques-Cartier, in Gatineau. An agent will give you your occupancy permit, your parking sticker, your wristbands and any other items listed on your invoice.

3. HOT AIR BALLOON RIDES
 

If you booked a hot air balloon ride during the Festival, that is to say between August 29 and September 2, 2019, you will have to bring a piece of ID and your invoice (electronic or paper copy) to the Hot Air Balloon Rides booth on the Festival site. An agent will hand you your boarding pass. You must be there no later than 5:30 a.m. for a morning ride and 5 p.m. for an evening ride.

If you book a hot air balloon ride outside of the Festival, the pilot will contact you directly.

Pre-sale booth
 

Only the following items are available for pre-sale at the Promenades Gatineau Festival booth: day pass, passport, and amusement rides wristband (2 days and more).

If you order your day pass, passport or amusement rides wristband (2 days and more) during the pre-sale at the Promenades Gatineau Festival booth between April 25 and 28 or between May 30 and June 2, 2019, they will be mailed out between August 13 and 20, 2019. The mailing address has to be the same one as for your credit card statement.

Regular sale booth and points of sale
 

Only the following items will be available at the Promenades Gatineau Festival booth and at the participating points of sale during the regular sale period: day pass, passport, and amusement rides wristband (2 days and more).
If you buy your passport, day pass or amusement rides wristband (2 days and more) at the Promenades Gatineau Festival booth in August 2019 (dates to be announced), you will receive them right then and there.
 

Return and refund policy
 

There are no returns, transfers or refunds on any items, regardless of how they were purchased (online, booth or point of sale), so be sure to make your selections carefully. The Festival is not responsible for any lost, stolen or damaged wristband or other item. It is entirely up to you to hold onto your wristbands and/or passes until the event.

We will not reimburse your money if you are unable to attend the event.

If you booked a hot air balloon ride and opted for a refundable package, you can get a refund on the basic price of the ride.

All programming elements, including the artists, are subject to change, postponement or cancellation, all without notice. There will be no refunds.

If an event is cancelled or postponed, the Festival has the full discretion to offer you a replacement or refund. It is up to you to check the Web site to determine whether the event has been cancelled or delayed. If the event is cancelled or delayed, the Festival will instruct you through the Website as to the procedure for exchanges or refunds.


Product-specific terms and conditions


By proceeding with a purchase, you agree to the conditions and policies specific to each product.
The purchase of a passport or a day pass is mandatory in order to purchase other products sold by the Festival, except for a hot air balloon ride during the Festival.
The products listed below and the rights attached to or stemming from them cannot be assigned, used for a contest, sold or transferred as part of a commercial undertaking or for a promotional campaign, either with or without consideration, without consent in writing from the Festival. 
Products are non-refundable, non-transferable and non-resellable.
Every product is available for as long as quantities last and spots are available.
The Festival reserves the right to refuse access to the event or to eject any person whose behaviour is deemed inappropriate, without refund.

PASSPORT


Purchase dates and prices:

A passport is valid for the duration of the Festival, that is to say from Thursday, August 29 to Monday, September 2, 2019.

 

Passport holders will receive a secure wristband with an RFID chip. Wristbands will be scanned upon arrival at and departure from the Festival grounds.

Passports do not include access to the amusement rides or to the reserved area in front of the Casino Lac-Leamy Stage, VIP stands or to the VIP Resto Lounge.

Admission is free for children aged 10 and under (proof of age required).

Children aged 10 and under, because they have no wristband, must be accompanied by an adult or they will not be permitted to enter or leave the Festival grounds.

If your wristband is damaged, you can have it replaced at the accreditation station (information coming soon). Such replacement is subject to verification of your order, and photo ID. There is a fee for replacement wristbands.
 

DAY PASS

A day pass is valid for a day of your choice, that is to say Thursday, August 29, Friday, August 30, Saturday, August 31, Sunday, September 1 OR Monday, September 2. Once your wristband has been activated on a given day, it will automatically be deactivated for the other days.
 

Day pass holders are required to validate their entrance and exit at the terminals installed for this purpose at the entrances and exits.  

Day pass holders will receive a secure wristband with an RFID chip. Wristbands will be scanned when entering and leaving the Festival grounds.

Day passes do not include access to the amusement rides or to the reserved area in front of the Casino Lac-Leamy Stage, VIP stands or to the VIP Resto Lounge.

Admission is free for children aged 10 and under (proof of age required).

Children aged 10 and under, because they have no wristband, must be accompanied by an adult or they will not be permitted to enter or leave the Festival grounds.

FRONT STAGE

The front stage pass provides access to an area in front of the Casino Lac-Leamy Stage that is reserved for holders of this pass. It is accessible through the entrance to the right of the Casino Lac-Leamy Stage.

This reserved area is accessible Thursday to Sunday one hour before the first show on the Casino Lac-Leamy Stage.

Front stage pass holders will receive a secure pass with an RFID chip. Passes will be scanned when entering and leaving the reserved area in front of the Casino Lac-Leamy Stage.

 

 

The front stage pass does not include admission to the Festival.

A passport or day pass to the Festival is required for anyone over 10 years of age.

Anyone wishing to access the front stage area will need a valid access including children aged 10 and under. Children aged 10 and under must be accompanied by an adult at all times in the Front Stage area.

The front stage pass does not provide access to the VIP Resto Lounge, VIP stands or area in front of the Hydro-Québec Stage.

Access to this reserved area is controlled by attendants.

 

VIP STANDS

When you purchase a VIP stands pass, an FMG representative will call you within 72 business hours to select your seats. These will be assigned on a first-come first served basis. Seat assignments are final.

VIP stands pass holders will receive a secure pass with an RFID chip. Passes will be scanned when entering and leaving the stands at the Casino Lac-Leamy Stage.
The VIP stands pass provides access to an area off to the side of the Casino Lac-Leamy Stage that is reserved for holders of this pass. It is accessible through the entrance to the right of the Casino Lac-Leamy Stage.
The VIP stands pass does not include admission to the Festival
A passport or day pass is required except for children aged 10 and under (proof of age required).

Anyone wishing to access the VIP seating area will need a valid access including children aged 10 and under. Children aged 10 and under must be accompanied by an adult at all times in the VIP seating area.

The VIP stands pass does not provide access to the VIP Resto Lounge package, area in front of the Hydro-Québec stage or Casino Lac-Leamy.

Access to this reserved area is controlled by an attendant.
 

AMUSEMENT RIDES WRISTBAND (2 DAYS AND MORE)

At the door

Amusement rides wristband (2 days and more) provide access to all of the amusement rides. They are valid for the full duration of the Festival, that is to say from Thursday, August 29 to Monday, September 2, 2019.

Certain rides have minimum or maximum height restrictions.

The amusement ride pass does not include access to the Festival.

A passport or day pass to the Festival is required for anyone over 10 years of age.

Access to the amusement rides is controlled by attendants.

The adults accompanying children are at all times responsible for watching them and ensuring their safety. The Festival is not liable in that regard.

The VIP Resto Lounge package includes a meal for the day of your choice, as well as access to the VIP Resto Lounge, from 4 to 11 p.m., from Thursday, August 29 to Sunday, September 1. You can also add a VIP parking option.

Food will be served starting at 6 p.m., and you will have a choice of Italian, Asian or Mexican dishes, poutine, a salad bar and deserts. These are subject to change without notice by the Festival.

 

The dress code for the VIP Resto Lounge is “business attire”.

The meal and the parking pass must be used on the same day.

The VIP Resto Lounge package does not include admission to the Festival.

A passport or day pass to the Festival is required for anyone over 10 years of age.

A VIP Resto Lounge package does include access to a reserved area in front of the Hydro-Québec Stage or the Casino Lac-Leamy Stage or VIP stands.

Access to the VIP Resto Lounge VIP is controlled by attendants.

 

DOMAINE DES CARAVANIERS

To book a spot in the Domaine des caravaniers, you must purchase at least one passport.

A minimum of 3 nights—Friday, August 30, Saturday, August 31 and Sunday, September 1, 2019—is required to book a spot in the Domaine des caravaniers. RVs are to arrive no later than Friday, August 30, 2019.

HOT AIR BALLOON RIDES 
 

Purchase dates and prices:

Throughout the year

$325 plus taxes.

From August 29 to September 2, 2019

$325 plus taxes.

Flights are dependent on your physical condition and the weather. As well, for safety reasons, it is entirely up to the pilot or the flight director to decide whether to lift off.

A ride can last anywhere from 20 to 90 minutes, depending on wind direction and speed. The entire experience can take three hours, factoring in the time it takes to get the balloon ready. The chase team, which tracks you throughout the ride, will return you to the lift-off area afterwards. Each passenger will be offered a glass of apple cider for a toast after the ride.

It is no colder in a balloon than on the ground, so there is no need for extra warm clothes. Comfortable clothing is important: casual clothing and walking shoes (no high heels). It is best not to wear a cap. Cameras are permitted, but must be fastened to your neck or your wrist. For safety reasons, backpacks, handbags and any loose items are not permitted in the basket.

People accompanying passengers are not permitted to enter the lift-off area. There is no age limit for a hot air balloon ride. However, for safety reasons, passengers must be tall enough to see over the edge of the basket. The standard minimum height requirement is 140 cm (55"). Also, we prefer if people aged 64 and over get a medical opinion before their flight.

We ask that anyone with serious medical issues, who has had an operation or who is receiving medical treatment obtain a medical opinion and all-clear before booking a ride. Pregnant women are not permitted to ride in a hot air balloon.

Only clients who selected the reimbursement option are entitled to a refund if a flight is cancelled.

Please note that for rides booked during the Festival, it is not permitted to make personal arrangements with the pilot to postpone your booking. You must go to the Hot Air Balloon Rides booth with your boarding pass to transfer your reservation or to get a refund if you selected the reimbursement option when you booked your ride. If a flight is cancelled during the Festival, there will be no reimbursement of other products purchased, such as for admission to the Festival, parking, etc.
